For user research participants

Thank you for your interest in taking part in user research with us. This privacy notice covers what data we collect from you, how it will be handled and your rights as a participant.

Do Good Research Ltd is an independent research consultancy. We carry out regular research to test and improve services, for our own customers and on behalf of external clients, such as charities. You have been invited to take part in this research because you match the profile of someone who is currently using the service we are testing, or is likely to use the service in the future.

Our lawful basis for processing your data is consent. Please read this privacy notice fully and the consent form for your specific piece of research, before deciding if you'd like to take part. What information do we collect from you?

Before the research

When inviting you to take part in research, we may collect information from you that includes things like your name, email address or phone number, age group, gender, ethnicity, confidence with technology, any disabilities or other factors affecting how you may experience the service. This depends on the topic being researched.

Why do we need this?
Your name and email address or phone number, is used only for the purpose of contacting you regarding the research itself. Any additional information collected about you at this stage, is to see if you meet the criteria to take part and to make sure we’re including a wide range of people. All sensitive data we collect from you is optional and requires your additional consent.

Sometimes, we work with external recruitment agencies to help us to find suitable participants and to reduce bias. In this case, they will provide you with their own privacy notice about how they use your information. 

During the research

During a research session, you'll be asked to share your experiences with the topic being researched. This could include things like thoughts, challenges or feedback on a website or design. What you share is anonymised and stored in the form of written notes, transcripts, audio or video recordings. Recordings are optional - you can give your consent to be recorded or not, in the consent form.

Why do we need this? 
This data is captured during the research session, to make sure we have an accurate record of what happened to refer back to in our analysis. This is stored securely and used to help make improvements to the service. 

Sometimes, we may carry out research using external tools such as surveys (Zoho Survey), collaboration tools, transcription or analysis services. This means their privacy policy will also apply. We take measures to keep your data secure. For example, our survey tool has controlled access in place and complies with the Data Protection Act 2018.

Processing an incentive

Prize draw: If you've taken part in a research study such as a survey, you may have the opportunity to enter into a prize draw to win a voucher in exchange for your time. In this case, we will collect your name and email address.

Voucher: If you've taken part in a 1:1 interview, feedback session on a website or a similar research activity; you will receive a voucher in exchange for giving up your time. The amount will depend on the type of research you took part in. This can be an e-voucher of your choice either Amazon, John Lewis, M&S; or a charity donation on your behalf. We can also process physical vouchers as an alternative, if you don’t have access to email.
If you choose an e-voucher or donation, your email address will be shared with the organisation you choose a voucher from, with your permission. This is only for the purpose of processing the e-voucher and sending it to you directly. Please familiarise with the privacy policy of the organisation you choose, as this will also apply. If you prefer not to use your own email address, you can let us know when we ask you for permission.

Why do we need this? 

For the prize draw, your name and email address is stored securely and is used only for the purpose of contacting you if you are selected at random, to win the voucher. If you win, we will contact you to inform you that you've won and to process your voucher at the end of the project. After this point, all personal data including names and email addresses will be deleted.

For the e-voucher incentive, your email address will be shared with the company you choose to receive an e-voucher from. This is only for the purpose of processing the e-voucher and sending it to you via email. This is optional and their privacy policy will also apply in this circumstance.

Who will your information be shared with?

Your personally identifiable information eg. name, email address or phone number and any information used to invite you to take part e.g demographics, sensitive data - is only accessible to the researchers in Do Good Research Ltd. Sometimes a member of the team we are working with from the client's organisation, may help out with screening people to take part, but they will not store or retain any personal data.

Anonymised transcripts eg. labelled P1, P2, P3, quotes and insights are shared with the wider team in the client organisation we are conducting the research on behalf of. Recordings of the session will only be shared with the team with your permission, you can choose this in your consent form.

Anonymised findings may be shared externally in blogs, reports and presentations. We will never share your data with third parties for marketing purposes.  

Where will your information be stored?

Your personally identifiable information is stored in a secure folder and is only accessible to researchers at Do Good Research Ltd.

What you share with us during the session will be anonymised, so that it does not identify you. This will be stored in a secure project folder, accessible to Do Good Research Ltd and the client team working on the project.

How long will we keep your data?

The data collected from you before the research session will be stored for up to 6 months. After this point, we will remove the data but keep a copy of your first name, anonymised transcript and signed consent form if you have taken part. 

The data collected during the research will be stored with your name, and a record of consent for up to 2 years. After this point, we will delete all personal data relating to you, but reports with anonymised quotes that have been published will be retained.

How will we keep your data secure?

Do Good Research Ltd is committed to doing all that we can to keep your data secure. We have set up systems and processes to prevent unauthorised access or disclosure of the data we collect about you. For example, we protect your data using two factor authentication and by placing controls around who has access.

Your right to withdraw

You can request your personal data to be deleted at any time.

Information you shared during the research session, can be withdrawn up until 1 week after you took part. After this point, if a report with anonymised quotes has already been published we will not be able to remove this data, as it's not personally identifiable.

  • At any point, you can request the personal information we hold about you and ask us to remove it. If you wish to do this, please contact us by including your first name and the project code from your consent form, to research@dogoodresearch.org
